Associate Director for Finance and Administration
Western State Arts Federation
The Western States Arts Federation (WESTAF) is a 501(c)3 regional arts service organization dedicated to the creative advancement and preservation of the arts. Based in Denver, Colorado, WESTAF fulfills its mission to strengthen the financial, organizational and policy infrastructure of the arts by providing services and programs to the thirteen state arts agencies in the West.
WESTAF seeks bright, highly productive, and qualified applicants for the position of Associate Director. The Associate Director works closely with the Executive Director, Board and staff, and is directly responsible for all financial and administrative operations of the organization, including:
General Financial Management:
· Develops and oversees annual budget
· Monitors program activities and projects to ensure financial goals are met and organization remains fiscally stable
· Oversees WESTAF financial management procedures and recordkeeping systems
· Coordinates and directs the completion of an annual external audit
· Oversees investment plan to ensure that investments maximize return within board-established risk parameters
· Communicates regularly with WESTAF’s Treasurer and Trustees to ensure Board is kept apprised of all fiscal developments
· Supervises the oversight of all external contractual relationships
Earned Income Project Financial Management:
- Designs and implements financial management tools for a rapidly growing suite of earned-income projects
- Works with the Executive Director to introduce management efficiencies into the administration of earned income projects
- Conducts periodic analysis of earned income project pricing, cash flow, direct costs, and indirect costs
Personnel Management:
· Assists in the identification of personnel needs; recruits and assists in the selection of staff
· Supervises administrative staff
· Designs and manages performance evaluation systems
· Develops and implements salary administration, incentive programs, and the employee benefits package
· Manages cross-functional staff to ensure communication and collaboration
Grants Administration:
· Oversees grants administration process for the distribution of WESTAF grant funding
· Prepares and formulates relevant materials for external grant applications (including
Planning:
· As a member of executive management, works with Executive Director and Board to evaluate programs and develop new initiatives designed to address the needs of WESTAF’s constituency.
Reports to: Executive Director
Qualifications:
- Bachelor’s degree required in business, finance, accounting or related field with 5 years of relevant experience or a combination of Bachelor’s degree plus demonstrated experience that qualifies the applicant for this position
- Strong accounting skills required
- Familiarity with software system builds and deployments desirable
- Attention to detail is essential, and such attention must be exercised in a way that allows the applicant to shift regularly between attention to fine points and broad strategic analysis
- Excellent written and oral communication skills, including the ability to proofread and edit the contributions of others
- Strong management and human resources expertise
- Strong computer skills to include financial software (preferably Great Plains) Excel, Word, and Access
- Arts background helpful but not required
· Ability to work well in a small, dynamic office with project teams
· Ability to juggle multiple projects with limited support staff
· Must have excellent organizational and multi-tasking skills
